Job Description, Salary and Benefits  

Position Title:  Accounting Specialist

Reports To:  United Way of Mason County Executive Director

General Description:  The Accounting Specialist is an employee of United Way of Mason County. The employee is responsible for the fiscal management of multiple non-profit organizations and ensures that the financial records are maintained in accordance with accepted generally accounting principles.

Essential Duties and Responsibilities

Accounting

1. Accurately record bills to the appropriate expense/classification account and ensure they are paid by the due date.
2. Prepare checks to pay bills every two weeks or more frequently.
3. Prepare and send invoices as needed.
4. Accurately record cash receipts to the appropriate income/classification account. This includes grants, donations, (pledged, credit card, cash, check, etc.), interest/dividends earned, etc.
5. Deposit checks/cash on a regular basis to the organization’s checking account.
6. Complete adjusting journal entries, when needed.
7. Prepare spreadsheets for the distribution of allocated and designated funds.
8. Complete reconciliations of bank and investment accounts every month and submit them to the Executive Director and/or designee for review and approval.
9. Prepare monthly financial reports such as balance sheet and profit and loss reports.
10. Support budgeting and forecasting activities.
11. Assist in the development of the organization’s budget.
12. Assist in the preparation of the organization’s annual audit, as well as state and federal audits.
13. Prepare other financial reports, as requested.
14. Maintain an organized file system of financial records (bills, invoices, etc.).

Human Resources

1. Maintain payroll information by collecting, calculating, and entering data, which includes recording the employee’s time to the correct job classification.
2. Update payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.
3. Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
4. Determine payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments.
5. Complete and file required new hire reports, as well as state and federal reports.
6. Manage the organization’s employee benefit plans.
7. Ensure compliance with Human Resources policies, laws, and regulations.

Building and Equipment Management

1. Communicate with tenants on occurrences pertinent to the building or other tenants.
2. Ensure that there is an adequate amount of office and building supplies on hand and replenish them, as needed.
3. Ensure that the office equipment is in working order and contact the appropriate vendor/contractor when needed for repair.
4. Contact the appropriate vendor/contractor when building repairs are needed.
5. Maintain a spreadsheet of a vendors that the building is associated with.
6. Oversee the building’s janitorial and grounds services.
7. Administer and maintain the building’s key fob system.
8. Provide oversite for online schedule for meeting rooms.

Qualifications:   The successful candidate will possess the abilities needed to effectively perform each of the essential duties listed above. Education:  A bachelor’s degree in accounting or related field is preferred and/or three years of comparable experience in a professional office environment. Proficient in QuickBooks On-Line for nonprofit organizations, is computer literate and adaptable to learning new software programs.

Reasoning: Ability to define problems, collect data, establish facts, and draw valid conclusions. Have the aptitude to think analytically when solving practical problems and dealing with a variety of concrete variables in situations where limited standardization exists.

Language:  Ability to express thoughts in a thorough and concise manner in both oral and written form.  Ability to read and interpret general business information.  Ability to write effective reports and correspondence.  Ability to present information and respond to questions from private and professional members of the community. Ability to communicate and interact with individuals from diverse educational, socio-economic and cultural backgrounds.

Mathematical:  Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals.

Physical Demands:   The physical demands described here are representative of those that must be met by an employee to successfully perform essential job functions. The employee is regularly required to talk and hear. Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus. The employee frequently is required to sit and use hands to finger, handle or feel objects, tools, or controls. The employee is occasionally required to stand and talk. The employee may be required to lift and/or move up to fifty pounds. The employee must have a valid Michigan Driver’s License, reliable transportation and be able to travel in all kinds of weather. Salary and Benefits

$46,000.00 - $49,000.00
